The Electronic Mail module is full-featured, MHS
compatible, E-Mail system that allows you to send messages to
any combination of users and groups on the network, as well as
to remote users via MHS hosts or gateways. You can send
faxes, view faxes, print messages, forward messages to other
users, attach a file to be sent with a message, and even set up
multiple mailboxes to store existing mail.
File: This menu includes options to create/manage messages:
New: Creates a new E-Mail message. Same as Compose or
pressing the <INS> key.
Open: Lets you read the highlighted E-Mail
message. Same as pressing <ENTER> on the
highlighted message.
Delete: Deletes an E-Mail message from the list. Same as
using the <DEL> key.
Move: Moves the highlighted message to another
mailbox to save or store it.
Attachment: Used to extract file attachments from an E-Mail
message. An E-mail that has an attachment to it
will have a "+" displayed to the left of the
sender's name.
There are two options:
Extract: Extracts a file attached to an E-Mail
message. There is a field in the MHS
message header that displays the
"attachment name" if there is a file
attached to the message.
View: Allows you to view a fax. The "subject" of
the accompanying message will vary
depending upon the fax gateway you are
using. When the fax gateway ID is the
subject of the message, you know you have a
fax attached.
Print: Prints out the highlighted message.
Exit: Exits the E-Mail module, bringing you back to
the main program opening screen or any underlying
modules.
Compose: Used to compose a message to be sent. You can also
compose a message by pressing the <INS> key.
Read: Use this command to read the highlighted message.
Same as using Open in the File submenu, or pressing
Enter on the highlighted message.
Reply: Sends a reply to the highlighted message. The "Reply
(0=none, 1=text, 2=date+text, 3=all)" option in the
E-Mail configuration will determine the format of
your reply.
Forward: Allows you to forward a message to another user(s).
When you read a message that has been forwarded to
you, the MHS message header will have a "re-sent-by"
field showing you the name of the user who forwarded
the message to you.
Options:
Box: Lets you set up and maintain mailboxes. After you
read your current messages, you may want to save
them by subject. You could, for example, move all
messages that concern sales leads into a mailbox
named "SALES." All incoming E-Mail messages go into
the default (New) mailbox. The Box submenu offers
the following options:
New: Creates a new mailbox.
Open: Lets you select one of the defined
mailboxes. When a mailbox is opened, you
can view the list of messages it contains.
Rename: Allows you to change the name of a mailbox.
Delete: Allows you to delete an empty mailbox from
the list. RHM will not allow you to delete
a mailbox that contains messages.
Template: A template is a predefined file of text that
can be included as part of your E-Mail message.
A good example would be a form letter that is
used frequently. The Template submenu offers
the following options:
New: Creates a new template.
Open: Lets you edit an existing template.
Rename: Allows you to change the name of a
template.
Delete: Deletes an existing template.
Order: This command lets you select the order in which
messages are displayed. You can sort messages
alphabetically by whom the message was From, the
level of Importance (High, Normal, Low), the
Time the message was received, or alphabetically
by Subject. You also have the option to Reverse
any of the above orders.
Keyword: This command allows you to search through all
existing mail boxes for any particular text.
The Reset option allows you to clear the search
text in order to search again for different text.
